The invisible process connecting Whanganui Collegiate School

Complicated spreadsheets. Daily data transfers. Two systems that both mattered, with staff doing the work in between. That was the reality as Whanganui Collegiate School worked to connect its learning platform with its student information system.

The wider goal was to create a more coherent way for teaching, learning and communication to work across the school. Getting the systems behind that experience working properly together became an important part of making that happen.

Taking staff out of the middle

For around 18 months, moving information between the two systems involved complicated spreadsheets and daily data transfers. It was ongoing work for staff and made the connection harder to manage than it needed to be.

The teams worked together on an integration that would allow information to move between the platforms automatically. Once it was in place, the process faded into the background.

“Now it’s an invisible process that basically talks between Schoolbox and KAMAR and gets the job done for us.”

That word, invisible, says a lot.

When systems are working well together, staff shouldn’t need to spend their time keeping them connected. The information moves where it needs to, and people can get on with the work that matters.

Building a more consistent way of working

The school also wanted greater consistency in how the platform was used across teaching and learning. Teachers were given training at different levels, with the digital learning team continuing to support colleagues as confidence grew.

Over time, that helped departments work more closely together and share resources more easily.

“It has increased the way that we work together in our departments, working cooperatively and being able to share resources.”

That shared approach gave teachers a common place to build from and made it easier for good practice to spread across the school.

Giving families a clearer window into school life

As a predominantly boarding school, keeping families connected to what is happening day to day is especially important.

Parents can see learning progress alongside news, house updates and events, giving them a clearer view of both academic progress and wider school life.

“They can log in and they can see the progress of their students in real time, as well as see news and house updates and events.”

For families who may be some distance from the school, that visibility helps bring them closer to their child’s experience.

Working through the complexity

Connecting systems and changing the way people work always brings practical challenges. What mattered during the rollout was having support available when those challenges came up.

“Schoolbox were always on the other end of the line.”

The relationship was described as collaborative and solution-focused, with the teams working through issues together as the integration and rollout progressed.

Today, the daily transfers and spreadsheet work have been replaced by a process that largely looks after itself. Teachers have a more shared way of working, and families have a clearer view of what is happening across school life.

That invisible process has become an important part of a much more connected experience.
